What to do with outdoor advertising when your opening date moves

Outdoor advertising displays above a busy street after dark

Your site is booked, but the shop fit out or project launch has slipped. The first job is to stop an incorrect opening date from going live. The second is to find out which parts of the booking can still move. Those are separate conversations.

Find the latest safe decision point

Ask your media partner for the status of each site and artwork file. A digital creative waiting for approval may be easy to replace. A printed flex already produced has a real replacement cost. A mounted flex needs another crew visit. Write down the print deadline, installation date and booked media start for every site before deciding whether to pause or change the message.

Keep a message that remains true

If the opening date is uncertain, replace a countdown or dated invitation with a useful holding message. It can name the location, the brand and a page where people can check the confirmed date. Do not imply the doors are open if they are not. Keep the page current so a person who sees the hoarding gets the same answer online.

For a property launch, have the promoter approve every revised claim and disclosure. A new date does not make an old approval automatically valid. If the only truthful message is too weak for the booked audience, ask whether the media period can move instead.

Ask for options site by site

  • Move the start date if the site is available and the order allows it.
  • Keep the media dates but replace the artwork with a date free message.
  • Shorten or reassign part of the schedule if the owner agrees.
  • Record unavoidable print, installation and cancellation charges separately.

Availability and credits depend on the signed order and the Media Owner. Ask for a revised written quotation before approving extra production or assuming a refund.

Do not send a new artwork file as an informal chat attachment. Confirm its version, the affected site codes and the exact time the old creative must stop.

Close the loop on delivery

After the change, ask for a fresh site photograph or digital playback record. Compare it with the approved artwork and the revised dates. Keep the original order, change approval and evidence together so finance can reconcile what actually ran.

For the next booking, agree a change deadline and remedy before signing. Read when to refresh hoarding creative, what to check in a quotation and why proof of display matters.
