Running multiple brand campaigns from one office without chaos

Handling one campaign is straightforward. Handling three brands, five cities and eleven sites at the same time is where mistakes happen. Wrong artwork on a live board or a missed renewal is embarrassing and expensive. A light system prevents almost all of it.

Give every campaign a short code

Use a three part code like brand-city-month, for example ACME-DEL-AUG. Put it on every file, every email subject and every folder. When someone forwards a photo from a site, you know within a second which brand and month it belongs to.

One tracker per office, not per person

  • Campaign code and client.
  • Site name, code and address.
  • Start date, end date and renewal decision date.
  • Artwork file link and printer status.
  • Proof of display links, latest photo date.
  • Invoice status and payment date.

A shared sheet with these columns is enough. Everyone updates the row for their site, and the office reviews the tracker in one weekly meeting.

The single most common outdoor mistake in a busy office is the wrong artwork going up. Force a second person to sign off every artwork file before it leaves for printing.

Batch the boring work

Do all renewals decisions on the last Friday of the month. Do all invoice checks on the same day of the week. Batching cuts context switching and stops small tasks from piling up into weekend firefighting.

Separate creative folders per brand

Even if you use the same media partner across brands, keep the artwork libraries strictly separated. It removes the risk of a version mix up and makes it easier if one brand later moves to a different partner.

Debrief every month

Fifteen minutes at the end of the month, per campaign. What worked, what wasted money, what to change next time. Two lines is enough. Over a year, those notes are worth more than any external report you can buy.
