Getting internal approvals for an outdoor campaign without burning weeks

Most delays on outdoor campaigns are internal, not external. The site is available, the artwork is ready, and then the plan sits for two weeks in approval loops. A little structure at the start prevents that.

Know what each function actually cares about

  • Finance wants a single total, a clear payment schedule and a valid GST invoice from a registered entity.
  • Legal wants proof the site is licensed by the municipal body and a written no objection from the site owner.
  • Brand wants to see the exact creative on a mockup of the site, not a generic template.
  • Business head wants a one line answer to "why this site" tied to audience and objective.

Bundle everything into one approval note

Instead of sending three separate emails, send one document with the itemised quotation, the site licence copy, the mockup and a one paragraph rationale. Every reviewer sees the same file at the same time. Approvals in parallel replace approvals in series.

Ask your media partner to prepare an "approval kit" at booking time. Any partner who cannot supply the licence, the mockup and the invoice format on request is not ready for a corporate customer.

Ask for the sign off you actually need

Do not ask "please approve this campaign". Ask "please confirm you are okay with X spend on Y site for Z period, with artwork attached". A yes or no question closes faster than an open ended one.

Build a repeatable template

After your first approval cycle, save the note as a template. The second and third campaigns should reuse the same structure so reviewers know exactly where to look. Over time your approval cycle drops from weeks to a few days.
